Overview of the Role

This role will be based on the university campus with scope for it to be undertaken in a hybrid manner.   We are also open to discussing flexible working arrangements.

We are seeking an Administrative Assistant to join the Healthy and Sustainable Places Data Service (HASP). HASP is funded by the Economic and Social Research Council (ESRC) as part of Smart Data Research UK, the national programme for smart data research. Smart data is data generated through everyday interactions with the digital world, including via mobile apps, navigation systems, social media, and shopping. It offers a powerful opportunity to understand society and improve lives. HASP works with business and government to bring together smart data on place to enable researchers to explore place-based disparities in health and sustainability. 

As an Administrative Assistant, you will work closely with the service’s professional services team and the senior leadership team to provide administrative support, ensuring the effective and efficient running of the HASP Data Service. Your responsibilities will include supporting meetings and events, raising purchase orders, booking travel and accommodation, maintaining team files, monitoring a shared inbox and supporting the HASP application and research management process.  

Main Duties and Responsibilities

  • Providing general administrative support to the HASP team;
  • Diary support for HASP Directors;
  • Monitoring the HASP shared mailbox, including responding to simple queries, assigning/forwarding emails to the relevant team member and maintaining an organised filing system;
  • Administrative support for HASP data access applications and the Research Management Process, e.g. checking completeness, circulating applications for review, ensuring filing systems and logs are kept up to date, booking safe researcher training and arranging meetings with service users;
  • Assisting HASP staff with the booking of meeting rooms, catering orders, conference attendance, travel and accommodation, including raising purchase order requests, arranging goods receipting and sending invoices for payment;
  • Supporting meetings, including identifying suitable timeslots, arranging venues and catering, circulating invites and agendas and taking minutes;
  • Providing administrative support for HASP hosted events and training programmes, including handling bookings, liaising with finance colleagues, and obtaining feedback from attendees;
  • Supporting with arrangements for HASP team members to attend/exhibit at relevant conferences;  
  • Working with minimum day to day supervision to manage own workload, but also working collaboratively to provide effective administrative support, ensuring activities feed into the effective and efficient running of the HASP Data Service. 
  • These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post.
